Gemini, Google’s AI assistant, creates ready-to-download files right in the chat: Word documents (.docx), Excel spreadsheets (.xlsx), PDFs, CSVs and Google Docs, Sheets and Slides files. Google announced the feature on 29 April 2026 for all Gemini app users. You describe what you need, Gemini prepares the file, and you can download it or save it to Google Drive. For a business it’s handy for draft quotes, tables and presentations; it doesn’t replace a check by someone who knows the numbers.

I’m Toure Tia Kevin, a developer in Bassano del Grappa, Italy. I use AI tools in my work every day and build them into the processes of the businesses I work with.

Which files Gemini can create

FormatExample use
Word (.docx) and Google Docsquotes, letters, internal procedures
Excel (.xlsx) and Google Sheetsprice lists, cost tables, work plans
PDFdocuments to send as they are
CSVdata to import into management software
Google Slidesdraft presentations for clients
Text, Markdown, RTF, LaTeXtext to reuse in other programs

According to Google’s announcement there’s no direct PowerPoint (.pptx) export: you create the presentation in Google Slides and download it in PowerPoint format from there.

How to use it at work: three examples

  1. Draft quote: describe the service, line items and prices, and ask for a tidy Word document. Then add your logo and recheck every figure.
  2. Table from scattered data: paste a list of costs or orders and ask for an Excel file with totals and sorted columns. Always check the formulas.
  3. Presentation outline: ask for 5 slides on a project for a client. You get a framework to complete with real data and images.

The weak spot is always the same: Gemini writes confidently even when it gets a number wrong or makes something up. A file ready in seconds should be read like a draft from a new colleague.

Free Gemini or Gemini with Google Workspace?

  • Free Gemini app: fine for trying things out and for text without confidential data.
  • Gemini in Google Workspace (the business plans for Gmail, Drive and Docs): it works on company files and, according to Google, Workspace customer data isn’t used to train the models. It’s the one to choose if you upload internal documents.

Workspace plans and prices change often: check them on Google’s site before deciding.

What not to upload to any AI assistant

  • personal data about customers and staff, unless you’ve checked the contract and settings;
  • passwords, access codes, bank details;
  • documents covered by a confidentiality agreement.

Using personal AI tools for company data, with no rules, is what’s called “shadow AI”: it’s the most common risk in small businesses. A few written rules on what can be uploaded, and from which account, are enough.

Gemini, ChatGPT or Claude?

All three create text and files, with differences that shift with every update. Gemini’s advantage is its integration with Gmail, Drive and Docs if your business already uses Google Workspace. When you need more

Creating a file in chat is convenient for one-off jobs. When the same document comes up every day, such as a quote built from your management software’s data, an automation that prepares it on its own and sends it for approval is worth it. That’s the work I do with the AI and automation service.

Frequently asked questions

Is file creation in Gemini free?

Google made it available to all Gemini app users. Usage limits and advanced features may vary by plan.

Can I write my requests in other languages?

Yes. Gemini understands and writes many languages, and the files come out in the language you use.

Does Gemini replace Word or Excel?

No. It creates the file, which you then open and edit in Word, Excel or Google Workspace. It’s a quick starting point, not office software.
